Association software brings together member administration, subscriptions and communication in a single system. For an association with 250 members, the ten packages in this overview range between €21.95 and €82.50 per month. Which package is right depends mainly on what you want to solve first.
What is association management software?
Association software is a single system in which an association manages its member administration, membership fees, calendar and communication, instead of using a spreadsheet, an email programme and a chat group side by side. It therefore does not replace one task, but rather the place where all those tasks come together.
In the Netherlands there are roughly four types, and that distinction is more important than the price:
- Accounting software with bookkeeping. Starting with the finances: general ledger, annual accounts, cash audit. The board works in it, the members usually do not.
- Debt collection specialists. Do one thing well: collect membership fees, with invoicing, debt collection and reminders.
- Community apps. Overlay an app on your existing administration, featuring news, calendar and groups. Your administration stays right where it is.
- Platforms that members work in themselves. Administration is taken care of, and members use it via an app: signing up, paying membership fees, claiming a bar shift, showing their digital card.
Comparing by monthly fee alone misses that distinction, and that is precisely where most choices go wrong. A €25 collection package is not cheaper than a €30 platform if you still need an app and membership administration alongside it.
Tailored to the type of association you are
A brass band holds rehearsals. A civil-guards association holds drills. A football club plays matches and has to find referees every week. Those are not variants of the same thing: it is different work, associated with different words.
That is why 4planning is configured to suit the type of organisation you are. For a music society, the menu says “rehearsal”, and the reminder your members receive on their phones does too. Not because someone changed it somewhere, but because it is a music society.
This is what a season looks like when it is all in the same setting.
September. You set up the entire season's training sessions, rehearsals or exercises all at once, with fixed weekdays and times. School holidays are skipped. The trainer ticks off who was present on their phone. On the Attendance page, it then shows per member how often they were there, how often not and the percentage, with the lowest attendance at the top.
October. There is a club night. You create the event, attach a ticket shop to it that you can also share outside the club, and your sponsors get a free ticket type that is only visible to their own group. At the door, you scan with a phone. The volunteer doing the scanning does not need to be a member: they get their own scanner account via a link and do not see anything else relating to your association.
November. The membership fees are up and running. One subscription plan per group, members sign a direct debit mandate just once, and the pre-notification goes out automatically about fourteen days in advance. Failed direct debits are grouped together in the instalment overview rather than being scattered across your inbox. For children, the parent pays from their own account, and all correspondence regarding this goes to them.
January. The members' meeting. You record it in the same app and get it transcribed: a summary, the decisions made and the action points below it. Before recording starts, everyone gets a consent screen, and the recording is automatically deleted after a configurable period — thirty days by default. The report remains. Meanwhile, in the canteen, Club TV is playing on the screen: the agenda, the news, birthdays and your sponsors.
And throughout the year Is there an assistant in the app that you can just ask things to? “Who hasn't done their bar duty yet?” “Which maintenance tasks are due this month?” It also writes your news article and takes you to the right page if you can't find something.
In addition, everything else you need is ready to go, with no separate module or subscription required: single-question polls and full-form surveys. Documents in folders with permissions per group. Chat and group chat. Birthdays, the member directory and a digital membership card. A club shop with ordering rounds, where members order club kit and you print a pick list per round. Sponsors with amounts, duration and packages, and you decide yourself where their logo appears.
One login, and nothing else to explain. Members use the same environment in the browser or in the app. A member who opens the calendar will also see their membership fee, bar duty and tickets there. Each member chooses per type of message whether they want it by email or as a notification on their phone, so anyone who doesn't configure anything simply gets email. And if someone gets stuck, they can ask the assistant in the app, which explains the step and takes them to the correct page.
Most committees start looking at the moment one thing grinds to a halt. The treasurer quits and no one knows how the membership fees are collected. Or the member list is in three places and no one knows which one is correct. From that moment on, all software packages look the same, because they all promise the same thing.

At Congressus, €0.095 per SMS and €0.10 per payment are charged on top of this. With e-Captain, the amount depends on the number of relations, not the number of members: donors, advertisers and creditors all count. With Socie, you maintain your member administration alongside it, with its own subscription.
What this table shows is not which package is the cheapest, but that four different things are listed side by side. Conscribo is the cheapest and doesn't do a member app. Socie is an app and doesn't do administration. ClubCollect only collects payments. Anyone who adds up what they are currently paying separately is making a fair comparison.

Which association management software suits which association?
This is the most useful distinction, and it is rarely included in a comparison. Every package originated around a single problem, and you can see that reflected in what it excels at.
ClubCollect — subscription collection
Starts with the money. ClubCollect itself reports 1,700 affiliated organisations and more than 980,000 payments per year. The package is built around automated invoicing, direct debit and reminders, with member administration built around that. Choose this if your biggest problem is membership fees and the rest of your organisation is running smoothly. The per-transaction pricing model means you start without fixed costs.
Member book — simple member administration
Positions itself as the complete member management system for Dutch associations: members, online payments, activities. The pricing tiers start at €8.25 per month for associations with up to 50 members. Choose this if you are a small to medium-sized association with straightforward needs and the lowest price is a heavy consideration.
HAYAGO — sports club management with a free entry-level option
Focuses on sports clubs and martial arts clubs, with memberships, events and invoicing. There is a free package for up to 50 members. Choose this if you are starting small and want to try it out first without paying anything.
Conscribo, e-Captain, Congressus, AllUnited, Socie and SportEasy

When it is better to choose something other than an all-in-one package
A complete platform is not always the right answer, and a comparison that does not say so is a brochure.
Is it just about the subscription fee, then a specialised debt collection package is simpler and probably cheaper. You won't need to move your association then.
Is your association run by a handful of people who talk to each other every day, then software solves little. The benefit of a platform lies in transfer and overview, and you only notice that when multiple committees are working independently of each other.
Are you stuck with your union's administration, then the question is not which package looks the nicest, but which package integrates with it. That is a hard requirement and it takes precedence over all other criteria.
Do you mainly want a website, then you start with a parcel that starts with that.
What is best to compare them with
Four criteria determine the choice in practice. The rest is a matter of taste.
- Calculation model. Flat fee, per member or per transaction. With growth, those vary wildly.
- Who is going to use it. Only the board, or the members too? That changes everything.
- Links. Bond, bookkeeping, payment provider. If one is missing, it remains manual labour.
- What happens when the treasurer steps down. Can someone else take over without explanation?
The last one is the most important and the least asked. Ask during every demo to show the handover, not the features.

Members download the 4planning app and see their own club's name, logo and colours inside it. On the Pro and Business packages, the club logo appears as the app icon on your members' home screens, making the club's app easily recognisable amongst their other apps. 4planning does not provide a separate listing per association in the App Store or Google Play. Which ticketing system is suitable for an association?
That depends on whether your system needs to know your members. A standalone ticketing service is cheaper per ticket; a ticketing system that is linked to your membership administration automatically gives members their member price. We have six ticketing systems for associations compared.
Is there an integration with Sportlink?
4planning has an integration with Sportlink through which members, teams and matches are synchronised. Check with the other providers what federation integration they offer; that varies per package and per sport.
Can I switch without retyping my member list?
