Who a Conscribo alternative searches, stumbles upon a single figure: Conscribo is cheaper, and it stays that way. So the question is not what it costs, but who uses it. 4planning has existed since 2016 and is used by more than 200 organisations.

Conscribo is online administration in which accounting, member administration and mailing come together; 4planning is a platform where members are involved themselves via a club app. Conscribo is cheaper. The difference lies in who uses the system on a daily basis: the committee, or the entire association.

Tailored to the type of association you are

A brass band holds rehearsals, a civic guard unit exercises, a football club plays matches. 4planning is tailored to what kind of organisation you are: for a musical society, “rehearsal” appears in the menu and in the reminder on your members' phones.

Conscribo administers your association. 4planning makes it participate. That's the whole difference, and it costs about ten euros a year.

For that tenner you get the lot: a member app in your club's colours, where members sign up and deregister for activities, pay their membership fees, claim a bar shift and show their digital card. Training sessions that you set up for an entire season in one go, with an attendance rate per member. Ticket sales with door scanning. News, polls and surveys. Sponsors with packages and duration, including free tickets for them. Club TV for the screen in the clubhouse. A club shop. Family accounts allowing a parent to manage everything for their child. And voice notes that give you your general meeting transcribed, with the decisions and action items listed below.

Why are associations looking for a Conscribo alternative?

First the honest story: these are not substitutes for each other. Conscribo describes itself as online administration in which Accounting, membership administration and mailing form a single entity. The main focus lies with the treasurer: the ledger, annual accounts, invoicing and the administrative side of an association.

4planning is with the members. Member administration, diary, attendance, communication, subscriptions and ticket sales in a single environment, which members use via an app under their own club's name.

The overlap is in the membership administration and the collection of subscriptions. That is where they sit side by side, and hence this page.

The pricing model

I write charges a fixed amount per month: Conscribo Lite £11.10 and the full one Conscribo package £21.95, both excluding VAT. There is a trial period of 21 days.

Mind the membership limits: Lite goes up to 250 members and with 500 MB storage, the full package up to 600 members. Above that, there is a separate volume module, the price of which is not on their site. Ask for it in a quote if your association grows.

4planning charged per day: Start €1.00, Plus €1.75 and Pro €2.50, also excluding VAT. That is €30.42, €53.24 and €76.04 per month. Start is intended for associations with up to 250 members.

Conscribo is cheaper, and it's going to stay that way. Anyone who chooses purely on the basis of the monthly fee will choose them. The difference is about €100 a year, or roughly two euros a week. So the question is not whether it is more expensive, but what you get for those two euros a week. That is not a minor detail we can brush aside: anyone who chooses purely on monthly cost will choose them. The difference in price is about €100 a year, and where that difference lies is explained below.

Conscribo wins this, with about ten euros over a whole year. That's 83 cents a month. For that tenner, 4planning includes the lot: the member app in your club's colours, calendar and attendance, bar duty rotas, ticket sales with scanning at the door, training sessions with attendance, news, polls and surveys, sponsors, Club TV, the club shop and family accounts. None of those things are included with Conscribo.

What Conscribo offers in return is the accounting: general ledger, annual accounts and cash audit. 4planning doesn't have that; for that, you link your own software package.

What you get for that difference

For that hundred euros you don't get extra administration, but a second audience. At Conscribo the board works in the system; at 4planning the members work in it too:

  • January 4planning app with your club's logo and colours, and on Pro, the club logo as an app icon on your members' home screen
  • Agenda and attendance, where members register and deregister themselves
  • Messages, news and polls sent to the whole club or to a single committee
  • Ticket sales for club nights, where members automatically see their member price
  • Bar duties and volunteer scheduling, where members can claim a shift themselves
  • A link to Sportlink for members, teams and matches

Whether that is worth one hundred euros depends on one question: does your association mainly need to be administered, or does it need to get involved?

What it can earn back

The difference compared to Conscribo is about ten euros per year. So the question is not whether you'll earn it back, but how quickly.

A single club night with three hundred tickets easily covers that: with 4planning you sell those tickets in the very same environment where your members already hang out, the buyer pays the service fees, and the club keeps the full ticket price. Your club shop runs there too, with order cycles and a picking list for each cycle.

And then there is the time. Bar shifts that fill themselves because members sign in themselves, membership fees that collect themselves, and a general meeting that you get back typed out instead of someone sitting and typing all evening.

What moves with you when switching?

Your membership base moves with you. 4planning reads an export from Conscribo via Excel or CSV, including your own fields. Ask during a demo to do that import with your real export from Conscribo and not with a sample file, then you immediately see which columns come along and which you need to set up again.

Your groups will move with you, and are immediately usable: document permissions, messages to a single committee or team, and private tickets that are visible only to that group.

Your contribution moves along too, but your members will sign a new SEPA direct debit mandate. That is a single evening's work and it is unavoidable: a mandate is in the name of the collection agency.

What remains is detailed below under “when Conscribo is the better choice”. Take that into account before you decide, not after.

When is Conscribo the better choice?

  • Bookkeeping is your biggest problem. Conscribo is built for that, with the general ledger and annual figures in the same system. With 4planning, you link your own accounting package for that: Moneybird, Exact Online, e-Boekhouden, SnelStart, Jortt, Rompslomp or WeFact.
  • You want accounting, member administration and mailing with a single provider. Conscribo brings those three together; that is what the package is made for.
  • The budget is really tight. For a small association with annual costs of a few hundred euros, a difference of €100 is a realistic amount.
  • Only the board will use it. If you communicate perfectly fine via a newsletter and an annual general meeting, a member app solves a problem you don't have.

If, on the other hand, you are looking for a single place where both the board and the members come together, then accounting software is the wrong tool, no matter how competitively priced it is. That hundred-pound difference a year is offset by a treasurer who no longer has to tick things off manually and a board that no longer has to chase up registrations.

Where your data is stored and who we help

Where the data is located. Data is stored on European servers, in an ISO 27001-certified hosting environment, and is not shared with systems or AI models outside Europe. Sensitive data is stored encrypted, with daily backups.

What happens to your member base. All club and member data remains the property of the organisation that enters it. It will not be sold, shared or used for commercial purposes.

If you get stuck. For ticketing, 4planning is available 24 hours a day, including on the evening of your event itself. For the app and other questions, on working days from 08:00 to 18:00. Members download the 4planning app and see their own club's name, logo and colours inside it. On the Pro and Business packages, the club logo appears as the app icon on your members' home screens, making the club's app easily recognisable amongst their other apps. 4planning does not provide a separate listing per club in the App Store or Google Play. There, they manage their attendance, their membership fees and their tickets.

Can I take my member database with me when switching?

Yes. 4planning imports an existing member database via Excel or CSV, including custom fields. Ask for that import to be done with your actual export from Conscribo during a demo rather than a sample file, and you will immediately see which columns are brought across.
