The disadvantages of planning in Excel (and why a digital planning tool works better)

One of the biggest drawbacks of planning in Excel is the lack of central access. Scattered files, outdated versions and ambiguity about who has modified what create confusion. Especially in teams where several people are involved, this quickly leads to errors.

Besides, Excel is not designed as a planning tool. You can slide cells and colours, but it lacks logic, notifications or links. There is no automatic synchronisation with calendars, no notifications when changes are made and no clear overview of availability.

When you switch to a digital planning tool, those frustrations fall away. Everything is centrally organised, changes are made automatically and everyone is always looking at the latest version. You can easily set roles and permissions, so that only authorised people can make changes. And with features like drag-and-drop, smart filters and reminders, planning becomes a breeze.

The time you save as well as the mistakes you avoid soon outweigh the little bit of getting used to switching. A digital tool is made to help you plan. Excel simply isn't.
